ECM Today uses specialized Scanning Hardware, Document Image Processing (DIP) Software, and Customized Procedures to restore documents damaged by time and the elements. We create restored electronic documents of record with optimal legibility – without additional damage to originals.
ECM-T was tasked with digitizing 100,000+ deed documents dated 1875 – 2012 stored in a non-climate controlled warehouse as tri-folded documents in metal filing cabinets. In storage since 1935, these original documents were damaged by time and the storage environment. Our Digital Document Restoration process started with organizing the deeds and creating a transmittal record to ensure the chain of custody was maintained.

ECM-Today’s unique Document Restoration processes and procedures minimize additional damage to the documents during processing while optimizing the legibility of the documents.
Upon receipt at the ECM-T processing center, documents are batched and logged into the Master Tracking Log (MTL). The MTL is shared with the client and tracks the processing of every document through the digitization process.
Each document is prepped for scanning by placing it into an acrylic document carrier sheet to prevent any damage during the scanning process. The carrier sheet also maintains the integrity of documents that have become torn during processing. Overhead scanners can be used but may result in a loss in legibility and require taping or affixing documents to background sheets prior to scanning.
Large-format carrier sheets and scanners are used for Newspapers, Engineering documents and Plans, and other large-format documents.
A very slow “Fragile Document” setting of 8-12 seconds per page is used. The carrier sheet protects the documents as it slowly passes through the scanner.
The image is optimized using Document Image Processing (DIP) software, to adjust contrast, and despeckle. Optical Character Recognition (OCR) software is used for full-text processing of printed documents utilizing pattern recognition, natural language processing, artificial intelligence, and database systems.
The result is a digitally restored hardcopy document as an electronic document of record.
